1. About this Privacy Policy
Dash of Milk Pty Ltd ABN 57 651 163 450, trading as Dash Academy ("Dash Academy", "we", "us" or "our"), is committed to protecting your privacy and handling your personal information responsibly.
This Privacy Policy explains how we collect, hold, use and disclose personal information when you:
- Visit www.dashacademy.com.au (the "Site");
- Subscribe to our emails, download a free resource or listen to our podcast
- Contact or interact with us through the Site, email or social media;
- Apply for, purchase or participate in our courses, memberships, workshops, events, coaching, subscriptions, digital products or other services (collectively, the "Products and Services")
- Enter a competition, promotion or survey; or
- Apply to work with us or provide services to us as an employee or contractor.
We are based in Queensland, Australia. We are committed to handling personal information in accordance with the Privacy Act 1988 (Cth), the Australian Privacy Principles (APPs) and other applicable privacy laws, to the extent those laws apply to us. Where we are not legally required to comply with a particular provision, we aim to apply the privacy practices described in this Policy as a matter of good business practice.
By using the Site or providing personal information to us, you acknowledge that we will handle your information as described in this Policy. Where consent is required by law, we will seek it separately.
2. Who this Policy applies to
This Policy applies to website visitors, email subscribers, podcast listeners, free resource registrants, customers, applicants, course and program participants, Boss Clubhouse members, workshop and event attendees, coaching and Agency Dash clients, digital product customers, competition and giveaway entrants, job applicants, team members and contractors.
Our Products and Services are not designed for children and we do not knowingly collect personal information from anyone under 18. If you believe a person under 18 has provided personal information to us, please contact us so that we can review and, where appropriate, delete it.
3. What personal information we collect
The personal information we collect depends on how you interact with us and may include:
- identity and contact information, including your name, email address, phone number and residential or billing address;
- account information, including login details and account activity;
- business information, including your business name, role, website, social media handles, revenue or income range, goals, challenges, history, team information and information about your own customers or contractors where relevant to the services we provide;
- application, enquiry and questionnaire responses;
- transaction information, including Products and Services purchased, subscription or payment-plan information, billing details, invoices, payment status and limited payment-card information made available by our payment providers, such as card type, expiry date or the last four digits;
- program and coaching information, including coaching notes, action plans, questions, comments, messages, progress, results, testimonials, feedback and survey responses;
- content and media, including photos, videos, voice recordings, call recordings, transcripts, direct messages and material you submit or share during a program, coaching session, event or community discussion;
- marketing information, including your communication preferences, email opens, link clicks and interactions with our advertising;
- competition, promotion and event registration information;
- recruitment and contractor information, including applications, qualifications, experience, references and payment or taxation information where relevant; and
- technical and usage information, including your IP address, browser type, device information, operating system, referring page, pages viewed, links clicked, dates and times of visits and other website activity.
In some circumstances, you may choose to share financial information or other information that could be personal or sensitive in nature during coaching, applications, calls or community discussions. Please only provide information that is reasonably necessary for us to support you. We will seek consent where required before collecting sensitive information.
4. How we collect personal information
We may collect personal information:
- directly from you when you complete a form, create an account, make a purchase, apply for or participate in a Product or Service, attend a call or event, enter a promotion, respond to a survey or contact us;
- through email, Instagram, Facebook, Telegram and other social media or communication platforms;
- automatically through cookies, pixels, analytics tools and similar technologies when you use the Site or interact with our emails;
- from payment processors, course and community platforms, scheduling services, analytics providers and other service providers;
- from publicly available sources, including business websites and social media profiles;
- from referral partners, event partners or another person who refers you to us; and
- from clients or participants who provide information about their customers, staff or contractors as part of our coaching or services.
If you give us personal information about another person, you must have authority to provide it and, where required, have told them how we will handle it under this Policy.
You may choose not to provide requested information. However, this may mean we cannot process a purchase, provide a Product or Service, respond to your enquiry or give you access to particular features.
5. Why we collect and how we use personal information
We may collect, hold and use personal information to:
- operate, maintain, secure and improve the Site and our Products and Services;
- process applications, registrations, purchases, subscriptions, instalments and refunds;
- create and manage user accounts and provide course, community and digital product access;
- deliver coaching, programs, workshops, events, resources and customer support;
- schedule sessions, send reminders and communicate service information;
- understand your business, goals and support needs and personalise our services;
- record, transcribe, summarise and prepare notes or action items from calls;
- monitor participation, respond to questions and support client progress;
- communicate with customers, subscribers, applicants, contractors and event attendees;
- request and manage feedback, testimonials, surveys and case studies;
- administer competitions, promotions and events;
- analyse website, email, product and advertising performance;
- personalise content, emails and advertising and create advertising audiences;
- send marketing communications where you have consented or where otherwise permitted by law;
- detect, investigate and prevent fraud, misuse, security incidents and breaches of our terms;
- manage our team, contractors, professional advisers and business operations;
- maintain accounting, taxation and legal records;
- enforce agreements, resolve disputes and protect our legal rights; and
- comply with legal, regulatory and reporting obligations.
We may also use de-identified or aggregated information for analytics, research, service improvement and business planning where it can no longer reasonably identify you.
6. Programs, recordings and participant information
Coaching calls, workshops, Clubhouse sessions, live training and other program sessions may be recorded and transcribed. We will provide notice where a session is being recorded. Recordings and transcripts may be stored in Google Drive, Kajabi or the systems used by our service providers.
Group-session recordings may be made available to current or future eligible participants through the Kajabi portal or another designated program area. Depending on how you participate, a recording may include your name, profile image, voice, video, business information, questions, comments, experiences or results. Recordings will generally be available or retained for at least three months and may be retained for longer where reasonably required to deliver the Product or Service, maintain business records, support participants or meet legal obligations.
Private coaching recordings and notes are not made available to other participants. They may, however, be accessed by authorised members of our team, contractors and technology providers where reasonably necessary to provide support, prepare session notes, improve service delivery, obtain technical assistance or complete another purpose described in this Policy.
When you join a Dash Academy group, community or live program, other participants may be able to see information you choose to share, including your name, profile photo, business details, questions, comments, wins, results and audio or video contributions. This may occur through Kajabi, Telegram, Instagram, email or a live-call platform.
Group spaces are not private one-to-one environments. Please do not share confidential, commercially sensitive or highly personal information that you do not want other participants to see or hear. Although participants may be subject to community rules or confidentiality expectations, we cannot control how another participant handles information you voluntarily disclose in a group setting.
7. Testimonials, case studies and submitted content
We may invite you to provide feedback, a testimonial or permission to share a result, question, screenshot, photo, video or case study. We will usually seek your written permission before using identifiable material for marketing. With your permission, we may display your name, business name, image, social media handle, words, results or other approved content on our Site, social media, emails, advertising, podcast or other promotional channels.
We may also use material in an anonymised or de-identified form where you cannot reasonably be identified. You may withdraw permission for future use by contacting us. We will take reasonable steps to stop new uses after receiving your request, but withdrawal may not affect material already published, distributed, printed, scheduled or lawfully used before the request.
8. Artificial intelligence, transcription and automated tools
We use artificial intelligence and automated technology to support our operations and services. This may include tools that record or transcribe calls, summarise sessions, prepare coaching notes, organise information, draft content, analyse responses or assist with customer support and administration.
Information processed through these tools may include your name, contact information, business information, call audio, transcripts, coaching notes, applications, questions, messages or content you provide. This information may be processed by third-party providers, including providers located outside Australia.
We limit access to these tools to authorised people and use them only for legitimate business and service-delivery purposes. We do not rely solely on automated decision-making to make decisions that have a legal or similarly significant effect on you. Please do not provide unnecessary sensitive, confidential or third-party information for processing through our services.
9. Marketing communications
We may use your contact details to send newsletters, educational content, product updates, promotions and information about offers we believe may interest you. Customers may be added to relevant email communications following a purchase where permitted by law. We may also send marketing where you have subscribed, requested a resource or otherwise consented.
You may opt out at any time by clicking the unsubscribe link in an email or contacting us at [email protected]. Transactional and service communications, such as purchase confirmations, account notices, payment reminders and program updates, are not marketing and may still be sent where necessary to provide a Product or Service.
We may track email opens and link clicks and use your interests, purchases and interactions to segment or personalise communications. We may introduce SMS marketing in the future. If we do, we will collect and use phone numbers for SMS marketing only with any consent required by law and will provide an opt-out method.
10. Cookies, analytics and advertising
The Site uses cookies, pixels and similar technologies. Cookies are small data files placed on your device that help websites function and remember information about your visit.
We may use:
- essential cookies required for security, checkout, account access and core Site functionality;
- preference and functionality cookies that remember your settings;
- analytics technologies, including Google Analytics, Google Tag Manager and Kajabi analytics, to understand Site usage and improve our services; and
- advertising technologies, including the Meta Pixel and Google Ads conversion tracking, to measure campaigns, create custom or similar audiences, personalise advertising and show advertisements to people who have previously visited the Site.
We may add or change analytics and advertising providers over time. These providers may collect technical and usage information and combine it with information they hold about you under their own privacy policies.
You can manage or delete cookies through your browser settings and, where a cookie preference tool is available on the Site, through that tool. Blocking cookies may affect Site functionality. You can also manage advertising preferences through the settings offered by Google, Meta and other advertising platforms.
We may provide hashed or otherwise protected contact information to advertising platforms to create custom audiences, exclude existing customers from campaigns, measure advertising performance or identify similar audiences. The relevant platform processes that information under its own terms and privacy policy.
11. Payment and financial information
Payments are processed through third-party providers, including Stripe, PayPal and Kajabi's integrated payment systems. These providers collect and process payment-card or account information under their own terms and privacy policies.
Dash Academy does not store complete credit or debit card numbers on its own systems. We generally receive only limited transaction information, such as payment status, card type, expiry information or the last four digits of a card. Payment providers may securely retain a payment method to process subscriptions, instalment plans or future authorised payments.
We use Xero for accounting and financial recordkeeping. We may retain invoices, transaction records and other information needed for accounting, taxation, fraud prevention, dispute resolution and legal compliance.
12. When we disclose personal information
We do not sell or rent personal information. We may disclose personal information where reasonably necessary to:
employees, virtual assistants, contractors, coaches, guest experts and social media or customer-support team members who help us operate the business and deliver Products and Services;
- website developers, IT support providers, cybersecurity providers and automation or CRM services;
- professional advisers, including accountants, bookkeepers, auditors, insurers and lawyers;
- payment, accounting and financial providers, including Stripe, PayPal, Kajabi and Xero;=
- website, course, community and communication providers, including Kajabi, Google, Gmail, Google Drive, Google Forms, Google Meet, Zoom, Telegram, Instagram and Notion;
- form and scheduling providers, including Jotform and Calendly;
- analytics, advertising and social media providers, including Google and Meta;
- artificial intelligence, call-recording, transcription and note-taking providers;
- event, workshop, collaboration, referral, sponsor or business partners where necessary to administer a jointly delivered activity, where you have been notified or where otherwise permitted by law;
- regulators, courts, law enforcement agencies or government authorities where required or authorised by law;
- a person or organisation involved in an actual or proposed sale, merger, restructure, financing or transfer of all or part of our business, subject to appropriate confidentiality and privacy protections; and
- any other person with your consent or at your direction.
Service providers and contractors may access emails, applications, recordings, coaching notes, account information or payment history only where reasonably necessary for their role. We take reasonable steps to limit access and require confidentiality where appropriate.
If registration information or an attendee list will be shared with an event partner, guest or sponsor for their own purposes, we will provide notice and obtain any consent required by law.
13. Third-party platforms and links
Our Site and services rely on third-party platforms and may contain links to external websites, social networks, tools, affiliate products or other services. When you interact directly with a third party, that party may collect and handle information under its own privacy policy and terms. We do not control and are not responsible for the privacy practices, security or content of third-party services.
Some links are affiliate links. If you purchase through an affiliate link, we may receive a commission at no additional cost to you. The third-party merchant is responsible for its own collection and handling of your information.
14. Overseas storage and processing
Some of our service providers operate or store and process information outside Australia. As a result, personal information may be stored in or accessible from the United States and other countries in which our providers, their related entities or subcontractors operate.
Privacy protections in another country may differ from those in Australia. Where required by applicable law, we take reasonable steps to ensure overseas recipients handle personal information consistently with the APPs. However, the location and processing arrangements of third-party providers may change from time to time and are not always within our direct control.
15. Storage, security and retention
We may store personal information in Kajabi, Google Drive, Gmail, Notion, Xero and other secure cloud or technology systems used by us and our service providers.
We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. These steps may include strong passwords, two-factor authentication, restricted staff and contractor access, secure cloud storage, device passcodes, confidentiality obligations and reputable payment providers.
No internet transmission, cloud platform or electronic storage system is completely secure. We cannot guarantee absolute security, but we will take reasonable steps appropriate to the nature of the information and our operations.
We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, to provide Products and Services, maintain program and business records, resolve disputes and comply with taxation, accounting and other legal obligations. Different records may be retained for different periods. Marketing information may be retained until you unsubscribe or request deletion, subject to any information we need to keep to record and honour that request.
When personal information is no longer required and we are not legally required to retain it, we take reasonable steps to delete it from active cloud accounts and devices, securely destroy it or de-identify it. Some residual copies may remain temporarily in backups or archives maintained by our service providers.
16. Accessing and correcting your personal information
You may ask what personal information we hold about you, request access to it or ask us to correct information that is inaccurate, out of date, incomplete, irrelevant or misleading.
Please email [email protected] with enough detail for us to identify the relevant information. We may ask you to verify your identity before providing access or making a correction. We aim to respond within 30 days where reasonably possible.
We may refuse or limit access or correction where permitted or required by law, including where providing access would unreasonably affect another person's privacy. If we refuse a request, we will generally provide written reasons and explain available complaint options, unless the law permits us not to do so.
17. Requests to delete information
You may ask us to delete personal information we hold about you. We will consider the request and delete or de-identify information where reasonably practicable and legally permitted.
We may need to retain certain information to complete a contract, maintain transaction and taxation records, establish or defend legal claims, prevent fraud, resolve disputes, comply with law or record an opt-out request. Deleting information may also affect our ability to provide account access, program participation or other Products and Services.
18. Privacy complaints
If you have a concern or complaint about how we have handled your personal information, please email [email protected] and include:
- your name and contact details;
- a description of the concern;
- relevant dates, communications or documents; and
- the outcome you are seeking.
The Director of Dash Academy handles privacy complaints. We will acknowledge and investigate your complaint and aim to provide a response within 30 days where reasonably possible. If we need additional time or information, we will let you know.
If you are not satisfied with our response and the Privacy Act applies to the matter, you may contact the Office of the Australian Information Commissioner through www.oaic.gov.au.
19. Data breaches
If we become aware of a suspected data breach involving personal information, we will take reasonable steps to contain and investigate it, assess the possible impact and reduce the risk of harm.
Where the Notifiable Data Breaches scheme applies and a breach is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner as required by law.
20. Changes to this Policy
We may update this Privacy Policy from time to time to reflect changes to our practices, technology, Products and Services or legal obligations. The current version will be published on this page with its effective date. We encourage you to review it periodically.
